Waffle Samurai is not yet a registered company — we're trading under the name "Waffle Samurai" while we complete formal registration. This policy will be updated with registered company details once that's in place.

01Overview

This policy explains what information we collect through wafflesamurai.dev (the "Site"), why we collect it, and what we do with it. We collect the minimum needed to respond to enquiries and run the Site — we don't sell data, and we don't run advertising trackers.

02Information we collect

We collect information in two ways:

  • Contact form. When you submit the "Start a project" form, we collect your name, email address, project type, budget range, and whatever you write in the brief field.
  • Server logs. Like most web servers, ours automatically logs basic technical data on every request — IP address, browser user agent, timestamp, and requested page — for security and troubleshooting.

We do not use cookies, analytics scripts, or advertising trackers on this Site. The one third-party request the Site makes is to Google Fonts, which loads typefaces from Google's servers and, per Google's own documentation, may log the requesting IP address.

03How we use it

  • To read, reply to, and follow up on project enquiries.
  • To keep a record of conversations with prospective clients.
  • To keep the Site secure and diagnose technical problems.

We do not use your information for marketing emails you haven't asked for, and we do not share it with third parties for their own marketing purposes.

04Legal basis for processing

Where UK/EU data protection law applies, we process contact form submissions on the basis of legitimate interest — responding to a business enquiry you initiated — and, where a project goes ahead, in preparation for a contract.

05Who we share it with

Contact form submissions are delivered to our inbox via a third-party SMTP email provider acting purely as a delivery pipe — they do not use the content for their own purposes. We do not sell, rent, or otherwise share your information with third parties.

06How long we keep it

Enquiry correspondence is kept for as long as it's useful for our business relationship with you, and in any case no longer than is reasonably necessary — typically no more than a few years after the last contact, unless we're required to keep it longer (for example, for accounting records tied to a signed project).

07Your rights

Depending on where you're based, you may have the right to:

  • Ask what information we hold about you.
  • Ask us to correct inaccurate information.
  • Ask us to delete your information.
  • Object to or restrict how we use your information.

08Security

We take reasonable technical measures to protect the information you share with us, including transmitting form submissions over an encrypted connection. No online system is completely secure, but we don't hold more data than we need, which limits the impact if something ever goes wrong.

09Changes to this policy

We may update this policy as the Site or our practices change. The "last updated" date at the top will reflect the most recent revision.
